Getting started with ClearAim
Create your company, invite your leaders and send your first check-in in one sitting.
Welcome aboard! ClearAim keeps your leadership team focused with three simple pieces: tasks tied to KPIs and outcomes, one short check-in email a week, and a Monday brief for the CEO. Here's how to get rolling.
1. Create your company
- Start a free trial and sign in with a magic link or Google.
- Add your name, your title, the company name and the company time zone.
- That's it. Your company is ready, and your first cycle starts today (more on that in Outcomes and cycles).
The company time zone sets the default schedule. Everyone still gets their check-ins on their own local time.
2. Invite your leaders
Open Team and choose Invite a team member. For each one, add their name, work email, an optional title (it becomes their position, like "VP Operations") and a role:
- Owner: billing and everything else. The owner is the CEO in ClearAim.
- Admin: everything except billing.
- Leader: their own position, tasks, KPIs and check-ins, and the whole leadership picture.
- Member: their own tasks and position.
- Viewer: read only, for a board member or coach.
Invites last 7 days. If one runs out, choose Resend under Pending invites and a fresh link goes out (the old one stops working).
3. Set up positions, KPIs and outcomes
Each leader gets a position with 4 to 8 responsibilities, a few KPIs, and 3 to 5 outcomes for the cycle. "Draft with AI" gives you a first pass from a job title, so this goes quickly.
4. Add a few tasks
Press T anywhere in the app and type something like Book move crew @tom #warehouse due fri. See Tasks and quick add for every shortcut. Already living in ClickUp? Import or sync it.
5. Send yourself a test check-in
Open Check-ins and choose Send a test check-in to me. You'll get the real email for this week. Reply with a few lines and watch your tasks update. It counts as your real check-in, so nothing is wasted.
What happens next
- Friday at 2:00pm (each leader's local time), leaders get their check-in email. That's a default you can change in Settings → Check-ins.
- Monday at 7:00am, the CEO gets the brief, and each leader gets an upbeat recap of their own week.
Every day, time and question is a default. Make it fit how your team already works.
Handy shortcuts
- T adds a task from any page.
- G then a letter jumps around: G O Overview, G T Tasks, G C Check-ins, G B Briefs.
