AI matching and Undo

How ClearAim turns a reply into task and KPI updates, when it asks you to confirm, and how Undo works.

When you reply to a check-in, ClearAim's AI reads what you wrote and matches it to your own tasks, KPIs and outcomes. You write like a person, and your lists stay current. You're always in charge: anything it changes can be undone in one click.

What the AI can update

From a reply like "Done: vendor calls, new pick-list layout. On-time shipping 94. Stuck on the freight quote, could use Sam's help", ClearAim can:

  • Mark tasks done or in progress, matching your words to your open tasks
  • Add new tasks for work you mention that wasn't on your list yet
  • Log KPI numbers, like "On-time shipping 94"
  • Update outcomes: status, confidence and where it stands (never the target or due date)
  • Record commitments: last week's as kept, carried or set aside, plus the new ones for next week
  • Note what's stuck and who could help. If you name a teammate, they get a short, friendly email asking if they can lend a hand.

It also notices work that doesn't fit any of your responsibilities, so the CEO brief can mention it kindly.

"Got it" or "Here's what we understood"

Every item ClearAim finds gets a confidence level. What happens next depends on how sure it is.

When it's confident: "Got it"

If the overall reply is at least 0.8 confident and every item is at least 0.7, the updates go straight in. You get a Got it email ("Thanks! 4 updates from your check-in are in") listing each change, with an Undo link next to every one.

When it wants a second look: "Here's what we understood"

If anything is below those levels, nothing changes yet. You get a Here's what we understood email instead. Choose Check and accept to open a short page where you can:

  • Point an item at a different task, or switch it between Done and In progress
  • Fix a new task's title or links
  • Correct a KPI number or an outcome's status
  • Mark each commitment as Kept, Carry or Set aside
  • Leave out anything that isn't right

Then choose Accept all if it looks good, or Save my changes after editing. It takes about 30 seconds. The link works for 72 hours, no sign-in needed.

The 0.8 and 0.7 levels are defaults stored with your company's settings, so they can be tuned for your team. If you'd like ClearAim to check with you more often or less often, email us and we'll help.

How Undo works

  • Undo is on every change, from the Got it email, from the confirm page, and from the task itself in the app.
  • Undoing a task update puts the task back the way it was.
  • Undoing a new task cancels it. Nothing is ever deleted, so you can always find it again.
  • Undoing a KPI value restores the number that was there before.
  • Points come back off too, when celebrations are on, so everything stays fair.

You can also turn a next-week commitment into a real task with Make it a task on the confirm page.

Tips for replies the AI loves

  • Use words from your task titles. "Finished the pick-list layout" matches "New pick-list layout" nicely.
  • Put numbers next to the KPI name. "Freight cost per order 4.20".
  • Name the person when you need help: "Could use Sam's help on the freight quote".
  • Bullets are perfect. So are full sentences. Write the way you normally would.

What the AI sees

Only what a match needs: your reply, plus your own tasks, KPIs, outcomes, responsibilities and your teammates' names. We use the Anthropic API under commercial terms, so your data is not used to train models. More in Privacy and your data.
